Deposits, pauses, and money back

These rules apply to commissioned briefings: the executive dashboard pack, the monthly refresh, board-morning support, and the visual briefing workshop. They do not describe shop goods, digital subscriptions, or posted merchandise, because we do not sell those.

Eligibility

A refund is due when we cancel a booked sitting for our own reasons, when we cannot start within the time stated in the scoped estimate because the diary is full, or when you cancel in writing before we have begun drawing, subject to the timeframes below. A refund is not due merely because the board disliked a number that came from your own tables.

Timeframes

• Executive dashboard pack. Written cancellation more than ten working days before the agreed discovery sitting: full refund of the deposit. Between ten and three working days: half the deposit is kept for the diary time. Inside three working days, or after the discovery sitting has begun: the deposit is kept. If we have already delivered a first draft, work done is invoiced at the day rate implied by the estimate; any unused balance of the fee is returned.
• Monthly refresh. Pause with one month’s written notice. Fees already paid for a month whose files we have not yet touched are returned. A month whose pages are already in draft is charged.
• Board-morning support. Cancellation more than five working days before the sitting: full refund. Inside five working days: half is kept. If we travel to the building and the sitting is abandoned that morning, the fee is kept.
• Workshop. Cancellation more than seven working days before the date: full refund. Inside seven days: half is kept unless we can fill the table with another booked session, in which case we return the rest.

Partial refunds

If a pack is reduced in scope after we have started — fewer pages, one language instead of two — we invoice the work already done and refund the unused portion of the fee, if any. We do not refund for pages you later decide not to print.

Non-refundable items

Bank transfer charges. Courier costs for a physical proof already sent. Studio time already used in a discovery sitting. Third-party room hire you arranged. Colour proofs you asked us to print beyond the one included proof.

Process

Write to hello@platform-flowhub.digital with the estimate reference and whether you are cancelling, pausing, or asking about a draft already seen. We confirm in writing within five working days what will be returned.

Processing time and method

Refunds travel by bank transfer to the account that paid, in GEL, within fourteen working days after we agree the amount. We do not refund in cash at the ninth-floor desk.

No-shows and work already started

If no one from your side attends a booked discovery sitting or workshop and you have not written to move it, the deposit for that session is kept. If you arrive without the source tables we listed in the estimate, we may end the sitting early; that time is work already started and is not refunded.

Rescheduling

One free move is allowed if you write at least five working days before a sitting. Later moves are treated as a cancellation of that date and a new booking.

Materials

We do not buy stock for you. Paper and ink for the included proof are part of the fee. Extra printed sets are quoted; once printed, they are yours and are not taken back.
